The below terms and conditions apply to our various programs and services. if you are unsure which service is applicable to you, please do not hesitate to get in touch with us, as we are happy to clarify any questions you may have. 

Terms and Conditions – OSHC Incursions

1. Bookings

  • Bookings must be confirmed in writing (email is sufficient).
  • A booking is considered confirmed once a booking confirmation email has been sent (automated from booking system), and an invoice has been generated and sent.
  • By confirming a booking, the client agrees to these Terms and Conditions.

2. Session Structure & Numbers

  • Sessions are charged per session, not per child.
  • Each session has a maximum capacity of 30 children.
  • Where participant numbers exceed 30, additional sessions will be required.
  • Final session numbers may be adjusted on the day to ensure safe and effective delivery of the program.
  • Attendance numbers should be confirmed at least 7 days prior.

3. Fees & Payment

  • Fees are outlined at the time of booking.
  • Discounts may apply when two or more sessions are booked.
  • Invoices are be issued prior to session delivery with the due date being on the day of delivery.
  • A travel fee may apply for locations outside the standard service area and will be advised at the time of booking.

4. Changes to Numbers & Prepaid Sessions

  • Where fewer sessions are required due to reduced attendance, the provider will:
    • offer a credit for any unused prepaid session, or
    • provide a partial refund, minus cancellation fees, at the provider’s discretion.
  • Credits are valid for 12 months from the original booking date unless otherwise agreed.
  • Requests for changes to session numbers should be communicated as early as possible, preferably at least 7 days prior, we are. More than happy to be flexible with changes.

5. Cancellations

  • Cancellations made more than 7 days prior to the scheduled session may be eligible for a refund or credit.
  • Cancellations made within 7 days of the session may not be refunded, but where possible, a credit may be offered in order to transfer payment to any future sessions.
  • If the provider is required to cancel a session due to illness, emergency, or unforeseen circumstances, a refund or credit will be provided.

6. Weather & Unforeseen Circumstances

  • Sessions may be modified, postponed, or cancelled due to extreme weather or circumstances beyond the provider’s control.
  • In such cases, the provider will work with the client to reschedule or provide a credit or refund where appropriate.
  • It is optimal to have sessions run in a gym or equivalent space, which has access to cooling and heating.

7. Supervision & Behaviour

  • OSHC staff remain responsible for the supervision and behaviour management of children at all times.
  • The provider is responsible for the delivery of the agreed fitness and/or dance activity only.

8. Injury & Medical

  • All reasonable care is taken during sessions; however, participation in physical activities carries an inherent risk.
  • The provider is not responsible for injuries unless caused by proven negligence.
  • Any relevant medical conditions, injuries, or additional needs should be disclosed prior to the session.

9. Liability & Insurance

  • The provider holds current public liability insurance.
  • To the extent permitted by law, the provider is not liable for loss, damage, or injury arising from participation in sessions, except where caused by negligence.
  • Nothing in these Terms excludes rights under Australian Consumer Law.

10. Acceptance of Terms

  • Confirmation of a booking and/or participation in a session constitutes acceptance of these Terms and Conditions.
